Client Acquisition & Follow-Up Systems
Good relationships should not depend on your memory.
If you're building a coaching practice, the challenge is often not starting conversations.
It's keeping track of them, knowing who to follow up with, and making sure promising relationships don't disappear simply because your notes are scattered across LinkedIn, email, spreadsheets, and memory.
I help coaches build simple client acquisition and follow-up systems that bring those conversations into one manageable rhythm.
Start a ConversationThe real problem
You already have conversations. The challenge is what happens after them.
A new connection replies on LinkedIn.
Someone says, “Let’s reconnect next month.”
A former colleague shows interest.
A discovery call goes well, but the timing isn’t right.
None of these are lost opportunities.
But without a simple way to track what was said, what matters, and what should happen next, those relationships become difficult to manage.
Follow-up becomes reactive.
Notes end up in different places.
Important conversations rely on memory.
And the more your network grows, the harder it becomes to know where to focus.
The goal is not to follow up with everyone. It is to know who matters, what the next step is, and when to reconnect.
Psychology + Process + System
A good follow-up system has three parts.
Psychology
Follow-up can feel uncomfortable.
Many coaches hesitate because they don't want to sound pushy, salesy, or transactional.
So even when the conversation matters, the next step gets delayed.
The first part of the work is understanding what makes follow-up feel difficult and finding an approach that still feels natural to you.
Process
Once the mindset is clear, you need a simple way to decide what happens next.
Who is just a contact?
Who is a real opportunity?
When should you reconnect?
What does a meaningful next step look like?
A clear process removes a lot of unnecessary decision-making.
System
Then we create a place for the process to live.
That may include a CRM such as HubSpot, simple pipeline stages, contact properties, follow-up tasks, and a rhythm for reviewing your conversations.
The technology is not the strategy. It simply helps you see what matters and act on it consistently.
What we build together
A simple system you can actually use.
Together, we build a practical structure around the way you already develop relationships and grow your business.
That can include:
- a clear way to distinguish contacts from real opportunities
- simple pipeline stages that reflect your actual business development process
- a follow-up rhythm that feels natural and sustainable
- one place to capture important context and next steps
- tasks and reminders so conversations do not depend on memory
- a weekly rhythm for reviewing opportunities and deciding where to focus
If HubSpot makes sense, we can configure the system there together.
If another structure fits better, the thinking comes first.
The goal is not to build the most sophisticated CRM.
It is to build a system that gives you visibility, consistency, and less mental clutter.
Client example
Built around the way you actually work.
Christine came to me with a growing network, active conversations, and a strong instinct for relationship-based business development.
The problem was not a lack of activity.
It was that follow-ups were spread across LinkedIn, spreadsheets, notes, and memory, making it harder to see what needed attention and what the next step should be.
Together, we built a simple client acquisition and follow-up system in HubSpot that matched the way she works.
“Brian helped me set up a CRM and follow-up system that works for me and the way I run my business. Having everything centralized in HubSpot has made it easier to keep track of my contacts, follow-ups, and next steps without relying on spreadsheets.
What I appreciated most was that Brian didn't just introduce me to a tool. He helped me create a system that felt practical and manageable for the way I work.
I learned a lot through the process, and I would absolutely recommend working with Brian to anyone looking for more structure and consistency in how they manage their relationships and follow-up!”

What we worked on: Client acquisition structure · HubSpot implementation · follow-up rhythm · pipeline management
If your follow-up system lives mostly in your head, it may be time to make it easier.
We can start with a conversation about how you currently manage contacts, opportunities, and follow-up, and where things tend to fall through the cracks.
From there, we can see whether a simple structure, process, or CRM setup would make your business development easier to manage.
No pressure. No complicated system.
Just a practical conversation about what would actually help.
